Purpose:

To undertake/carryout administrative and secretarial responsibilities for the Chief Executive Officer for the effective administration of the Bank and to assist in the co-ordination and arrangement of Bank-wide events and functions.

Assist Head of Corporate Affairs and Brand & Marketing (CABM), Southern Africa to drive and deliver the CA and Brand & Marketing strategy for Angola, ensuring consistent and aligned delivery with the region as well as global agenda.

Support the delivery of the Bank’s community engagement agenda and initiatives for country, engaging with external and internal audiences to promote the Bank’s agenda in country and ensure its achievements are well understood.

Assist to implement the internal communications strategy for Angola as defined by the Head of CABAM Southern Africa.

 

Key Responsibilities

Arranges CEO’s internal and external appointments and receives CEO’s guests.

Arranges meetings/conference calls and co-ordinates diary for CEO.

Co-ordinates the booking of meeting rooms and presentation equipment for the CEO’s client and general staff meetings/presentations.

Ensures that CEO is aware of and attends meetings/presentations/conferences on time.

Ensures that documents/minutes required by CEO for attendance at meetings are received before the meeting in order that these can be perused prior to the meeting.

Ensure that the Minutes for meetings are distributed timeously to all meeting attendees. Ensures that the dates for the meetings are scheduled and planned in conjunction with the relevant department PA’s/EA’s.

Transmission of CEO’s instructions to Heads of Departments, Head Office and other external contacts by written correspondence, telephone, and ensuring their follow up.

Screening of CEO’s telephone calls and conveying of accurate messages to the CEO.

Typing of CEO’s correspondence, reports, memorandums, facsimiles etc.

Receiving, dispatching and filing of confidential correspondence and implementation of CEO’s filing system.

Answers routine correspondence and other queries on behalf of the CEO as may be directed.

Reviews CEO’s mail prioritises and routes to correct departments in her absence.

Deals with incoming and outgoing faxes and e-mails.

Answers general queries from staff and assists where possible. Responds to invitations received by the CEO, obtains relevant details and diarises accordingly.

Collates and submits the CEO’s monthly expense claims and ensures that the payments are processed by the Finance Department.

Ensures that the receipt, authorisation and payment of all General Management invoices are in order.

Manages the day-to-day direction of invoices from various departments signed by the CEO for payment to the Finance Department.

Co-ordinates CEO’s leave plan and ensures submission thereof to Human Resources.

Arranges travel bookings/flights/hotels/visas/transfers as may be required for the CEO, International staff and other Bank staff with reliable and efficient service providers, with emphasis on costs in conjunction with the Supply Chain Management Manager/CFO.

Attends to all aspects in respect of conference organisation for CEO’s office.

Acts as liaison between AME/ Cluster Head Office and the CEO with regard to arranging meetings and co-ordinating travel arrangements for visiting group senior level staff and board members.

Arranges Management Luncheons, lunches with customers/banks for CEO and staff functions.

Assists relevant Department Heads with the co-ordination of training, functions and workshops for General Management and staff.

Orders and controls department’s stationery requirements.

Aligning the Bank’s community engagement agenda and initiatives with country through the establishment of a cross bank committee, which is responsible for implementing the identified community, employee volunteering agenda with guidance provided by Head of Corporate Affairs Branding & Marketing Southern Africa.

Ensure all marketing, printed material adhere to brand guidelines

Ensure delivery of monthly, quarterly and half yearly dashboard, reports as required by Corporate Affairs, Brand & Marketing.

Drive internal communications agenda for CEO with guidance and assistance from Southern Africa Cluster CABM Head.

Identifying local media opportunities for CEO in consultation with CABM head Southern Africa to agree on messaging.

Assist with identification of reputational risk areas in the media and arrange for translation to be provided to the Head CABM Southern Africa.

Undertakes any other duties as may be assigned by the CEO.
